We currently have an exciting opportunity for a Real Estate Specialist to join our Facilities Department in Poway, CA
DUTIES & RESPONSIBILITIES:
Under general supervision, this position is responsible for assisting in the support of real property commercial leasing, including but not limited to preparation and administration of leases, amendments, subleases, licenses and easements in commercial real estate transactions to implement strategic space objectives.
Maintains real estate database including location, size, rental terms, and operating expenses.
Abstracts accurate information from complex commercial leases and related legal documents.
Prepares and delivers timely, accurate and complex lease data reports.
Prepares monthly spreadsheet reports to ensure accuracy of tenant operating expenses.
Maintains and utilities database to properly bill for pro-rated share of utilities (gas and electric, potable and reclaimed water, DI water, etc.)
Maintains complete records to ensure proper administration of tenant leases including but not limited to property files, work project notifications, utilities, property taxes, service requests, insurance certificates and operating expenses.
Acts as a liaison between the company and various landlords. Notifies employees of upcoming events (fire suppression system test, parking lot repaving, and other pertinent information).
Attends meetings with landlords, lenders, consultants and brokers.
Maintains ongoing landlord and occupant relations to constantly assess needs and ensure problems are addressed promptly.
Reviews and reconciles rent and common area maintenance (CAM) charges. Expedites tenant payment of delinquent rent and operating expenses.
Works with internal departments including legal, project management, space planning and facilities to ensure relevant data is available for reporting and action.
Maintains the strict confidentiality of sensitive information.
Utilizes MS Office Suite and other applications.
Performs other duties as assigned or required.
Typically requires an associate’s degree in a related discipline and five or more years of progressive experience in property management.
Equivalent professional experience may be substituted in lieu of education.
Paralegal certificate preferred, but not required.
Intermediate working knowledge of lease administration software and/or other software such as FM Systems and SAP is strongly preferred.
Must demonstrate a complete understanding of real estate principles, theories and concepts.
Must be customer focused and possess: (1) good organizational skills; (2) good interpersonal skills to interact with people, reach agreements, and resolve issues, (3) good analytical, verbal and written communication skills to accurately document, report, and present findings.
Ability to work independently or in a team environment is essential as is the ability to work extended hours as required.
