  • Order and/or purchase supplies
  • Develop tools, such as logs and checklist, to enhance operational efficiency
  • Maintain and update work-load/appointment schedules for each accountant and continually update accountants regarding changes
  • Maintain all office equipment in proper working condition
  • Make sure that all incoming mail, faxes and emailed documents are properly organized, logged, and distributed
  • Make certain that the general delivery voice mail is checked daily, incoming calls are answered and all messages are promptly distributed in a timely manner
  • Ensure Clients are greeted upon entry and directed to appropriate personnel for assistance
  • Coordinate with IT support and software vendors to ensure that software and computer systems are up to date and operating properly
  • Maintain a tight schedule of support personnel for all VA offices to keep fully staffed at all times
  • Ensure all monthly & quarterly Client deliverables are prepared accurately and delivered on time and that all payroll and sales taxes are paid in a timely manner
  • Confirm that filing is accurately completed on a daily basis
  • Ensure all files are pulled and prepped for accountants
  • Ensure that all billing is performed both timely and accurately
  • Ensure all new clients are correctly entered into software systems
  • Ensure that all payments from Clients are properly processed and posted, and all receipts are deposited on a timely basis
  • Facilitate the smooth flow of tax returns through the system
  • Ensure all Client payrolls are processed accurately and delivered on time
  • Other duties as assigned

Qualifications:

  • Must have at least 1-2 years working experience in a supervisory position
  • Must be proficient in Microsoft Office including Word, Excel and Outlook
  • Must be able to work independently, set and maintain priorities and multi-task with minimal supervision
  • Must work well with others to maintain a work environment of respect, tranquility and productivity
  • Must be reliable, trustworthy, punctual and discreet
  • Must be able to manage, oversee and direct all types of personalities in a professional and effective manner
  • Must project a professional image in terms of both demeanor and appearance
