The Marketing Assistant works collaboratively with and provides administrative support to the Proposal Manager for ongoing client and business acquisition initiatives, including proposal production, proposal infrastructure maintenance, prospect development, and document management. Additionally, the Marketing Assistant provides administrative support to the Marketing Department to ensure effective and efficient support is consistently delivered to REDW’s client service teams and staff.
The Marketing Assistant reports to the Director of Marketing; day-to-day proposal activity oversight and supervision responsibilities are shared with the Proposal Manager.
Proposal Support – Primary Responsibilities
Assist in file/folder set up and organization of RFP documents.
Set up and format basic proposals in Word, i.e., enter/assemble dates, titles, contact information, table of contents, population of standard sections, required forms, etc.
Coordinate edits and corrections from technical experts.
Light copyediting of content for grammar, style, spelling, punctuation and clarity.
Help track and monitor the schedule of all proposal documents, including keeping the proposal calendar, tracking report, and pipeline report current.
Assist with quality assurance for all proposal deliverables, including production compliance with RFP (number of copies, etc.), proofreading, corrections, printing and packaging, shipping, and overseeing submission to the client or prospect.
Assist in the development and production of pitch and business presentations.
Assist with competitive intelligence, including market research and updating of CRM database
Assist in proposal improvement process, i.e., help develop new or enhance existing proposal templates, update boilerplate and other content, maintain professional bio database, etc.
Marketing Support – Additional Responsibilities
Assist with event management activities, including sponsorships, tradeshows, seminars, and networking events.
Help maintain marketing collateral, fact sheets, and other sales support materials.
Coordinate Firm ranking submission efforts.
Support external and internal communication efforts, including through public relations, social media, eblasts, postings to intranet site, etc.
Place orders and track inventories of department supplies, promotional items, and printing materials, including business cards and Firm stationery.
Field questions and respond to day-to-day marketing needs and requests.
May be requested to perform other marketing-related duties not mentioned above.
